Context

Tribal is a technology company that provides financial solutions for businesses in LATAM. For this project, we designed and developed a solution that helps customers collect and manage employee receipts and legal invoices, allowing better financial control.

As a Product Designer I was in charge of the full design process from discovery to delivery of the web and mobile solutions.

Challenge

Companies struggle with expense budgets because receipts are required for every transaction to ensure expense accuracy, compliance, and budget accountability. This is a manual process that forces accountants to chase employees, leading many companies to default to reimbursements—reducing credit line usage and lowering engagement with the Tribal Platform.

Research

We talked with some of our customers to understand how they were feeling and what problems they were facing using the platform. Some of the key insights we found after the interviews were:

• ⏱️ Time-consuming process: Takes hours or days to complete.

• 🏃🏽 Moving through platforms: Users normally use 2 to 3 different platforms to complete this task.

• 🧾 Hard to keep track of the receipts: It is a common scenario when users lose the receipt or forget to save it.

Project Goals

Before jumping into the design and ideation phase we defined these goals to help drive our ideation process:

• 🎯 Reduce the time and effort it takes to verify expenses

• 🎯 Increase the usage of the credit line by incentivizing users to attach receipts and legal invoices

• 🎯 Allow customers to capture the receipt as soon as they have it

Ideation

In this phase we worked closely with engineering and stakeholders to develop several design proposals from sketch to high-fidelity mockups and prototypes.

Solution

A new attachments feature to make the expenses management process seamless:

• Employees can snap a photo of their receipt and instantly match it to a transaction in the app.

• Desktop users can upload digital receipts directly from their computer.

• All receipts are stored in one central platform, giving finance teams a single source of truth.

Impact

• Reduced manual chasing of employees for receipts.

• Faster and more reliable expense verification.

• Increased usage of company credit lines through the Tribal Platform.

Web Application

Improved the design of the transaction table to be more understandable. Users can scan the logo and merchant name to quickly open transaction details and link or download receipts.

Mobile Application

Learnings

Since the implementation of the feature, we have seen an increase in user adoption and card transactions. Users have shared positive feedback and expressed they have reduced time and effort while performing this task.

• Legal invoices are a must. In Mexico, what matters is the legal invoice in order to meet tax institution requirements.
